This notice explains how Availo handles personal data for Festival Lead Capture: organizer and sponsor accounts, attendee (lead) profiles, event check-ins, booth visits, and optional marketing consents.

What we collect

Account data — for organizers and sponsors: name, email, password or auth credentials, and company or brand details (such as brand name and logo). For attendees: name, email, phone, and date of birth as provided at registration.

Event activity — event registrations and check-ins, booth visits at sponsor activations, timestamps, and consent choices recorded at check-in.

Operational data — authentication sessions, and files you upload for events (for example covers or floor maps) needed to run the product.

Consent at check-in

Event consent is captured when an attendee checks in to an event (not only when creating an account):

  • Visit sharing (required) — details may be shared with activations the attendee visits at that event.
  • Sponsor marketing (optional, off by default) — sponsors visited may contact the attendee after the event.
  • Organizer marketing (optional, off by default) — the organizer may contact the attendee about future events.

The same attendee may use one account across many events; each event gets its own check-in and fresh consent.

Who can see what

Organizers can see checked-in attendees for their own events. They do not see another organizer's event CRM. Marketing use of contact details follows organizer-marketing consent; phone may be blanked on export when that consent is missing.

Sponsors see lead contact details only for people who visited their activation with visit-sharing consent. Foot-traffic visit counts may still be recorded. Post-event marketing requires sponsor-marketing consent. Sponsor CSV exports include only consented marketing rows where applicable.

Attendees can access their own profile and session. We do not sell attendee contact lists.

How we use data

We use data to run events, authenticate users, record visits, show analytics, export consented leads, and operate and secure the service. Processing is limited to what the product needs for those purposes.

Your choices and requests

Attendees control optional marketing consents at check-in. Organizers and sponsors must honor those flags when contacting people. For privacy requests about your account or event data, email hello@availo.app.
